Create an invoice <a hreferste_rechnung_erstellen" id="erste_rechnung_erstellen">
As in all other modules, you can create a new record, i.e., a new invoice, by clicking the + in the toolbar. The following entries are automatically filled in: ID, profile, name, company, date, due date, status, and invoice number. You can edit the profile, date, and status yourself if needed. As in the Mail and List modules, you can optionally link an existing report to the invoice. More on that later.
Add invoice items
Using the small, yellow + at the bottom center, we now create the first invoice item. After clicking, item 1 appears in the list. Later, when you have multiple invoice items, you can change the order using the two arrow buttons next to the item number. \ Regarding the actual content of the invoice item, you have two options; You can either use an existing item from the Items module or create a custom item. To access items in the Items module, click in the Item Master field and select the desired item from the drop-down list. The item's title and price will then be automatically entered. Alternatively, if you prefer a more flexible approach, ignore the drop-down list and simply name the invoice item as you wish. Don't forget to enter the information in Factor (e.g., how many hours, screws, or chairs...) and Unit Price. The total price, like the invoice total, will be calculated automatically. Important: Please select the desired tax rate for each item.
Linking Invoices to Other Data Records
Invoices are generally linked to other processes, such as a previous quote or a report that includes recorded hours worked. Below the block containing the invoice address and invoice number, you will find three small dots. These allow you to switch between the invoice address, footnote, and links. The links are located in the third position. Here you can select offers and/or reports that are linked to the invoice recipient. After selecting a link and leaving the selection field, a small yellow arrow appears on the right. Using this icon, you can jump directly to the linked offer or report.
Invoice Number, Date, and Status
Invoice numbers are generated automatically. You can also change the exact naming convention for invoice numbers in the preferences. For emergencies, there is the option to manually change invoice numbers. Please only use this option if you know what you are doing!
The invoice date is also set when an invoice is created but can also be changed. Clicking on the date field displays a small calendar for easy selection.
The status is set to "Draft" when a new invoice is created and then to "Open" after the invoice is issued. Upon receipt of payment, you can change the status to "Posted." For less successful business relationships, you also have the options Reminder, Dunning Level 1, and Dunning Level 2 available. Cancellation is intended for cases where a delivered invoice needs to be canceled. If an invoice has been successfully posted, you can optionally add the date to the Posting Date field.

The different statuses and dates are currently only used informally in alfons. However, corresponding ideas and functions, such as automatic payment reminders, are already on our roadmap.
